Flexible, Cost-Saving Options
Hayvn isn't an all-inclusive venue — and that's intentional. You have the flexibility to choose your own caterer and vendors, while we provide a beautiful, fully prepared venue and handle the licensed bar service. You and your vendors handle setup and end-of-night pack-out, helping keep your venue investment lower while giving you complete flexibility.
Begin your day as early as 7:00 AM at no extra charge — several extra hours beyond what many venues include. Because we aren't turning the venue over between events, we're able to hand those extra morning hours over to you instead.
No required in-house catering or food minimums.

For just $300, you can add a full Thursday (7 AM–10:59 PM) ahead of your Friday wedding, or a relaxed Sunday morning (7 AM–1:59 PM) after your Saturday wedding — extra time to decorate, rehearse, and breathe, without booking (or paying for) an entire second day. We believe wedding pricing should be straightforward. Every standard cost is listed above, so you know exactly what to expect before you book.
- Sales Tax & Card Processing — WI sales tax (5.5%) applies to venue rental. Card payments incur a 3% processing fee; no fee for checks.
- Event Insurance — A $1M policy listing Hayvn at Hay River as additional insured is required. Estimated cost: $250.
- Rate Changes — Pricing is subject to change. Rates and terms are based on contract date, not tour date.
- Refundable Damage & Care Deposit — $500.
- Setup, Table Flip & Cleanup — Our team thoroughly cleans the entire venue before every wedding and does our best to pre-stage tables and chairs according to your approved floor plan, so everything is ready when you arrive.
Throughout the day, your event lead is there to help facilitate the event — answering questions, supporting vendors, coordinating and assisting with the after-dinner table flip, and helping with the evening tasks outlined in our Setup & Departure Guide.
You're responsible for decorating, setup, and the primary end-of-night cleanup, guided by our simple, straightforward departure checklist — all common-sense items to return the venue to the condition it was found.
Prefer not to rely on family or friends for the end-of-night cleanup? We're happy to connect you with our recommended cleaning-service partner, who offers post-wedding cleanup at a reasonable hourly rate. - Bar & Beverage Service — Our in-house licensed bar service is a flat fee that includes bartenders — plus a cashier for medium-to-large events — and 4–7 hours of service with no per-person minimums — often significant savings compared to prepaid per-head bar packages.
